How it works
Work arrives by email and WhatsApp. Crafteer.ai handles it.
Your team works in a chat. Crafteer.ai does the work in your company's systems and leaves there only what needs a decision.
1. The chat is where your team works
First thing in the morning, the chat shows what is waiting for each person and what the AI is handling on its own. You can ask ("how much stock do we have of 2210?") or request ("prepare a quote for this customer") in plain language, typed or spoken: open the microphone, the request appears transcribed in the message box and you send it when it's ready.
2. It reads what comes in
Crafteer.ai reads emails (Outlook and Gmail) and WhatsApp messages, works out what kind of request it is (quote, order, appointment, document request) and pulls out the data: customer, products, quantities, dates. Customers rarely give the product code and write the name they use day to day, so Crafteer.ai matches it against their purchase history and previous orders to find the right item in the ERP.
3. It follows your company's procedure
Each process runs as a step-by-step procedure, the same way your team already works. Procedures are written by describing the process in words or out loud, and our team helps set them up during onboarding. Each procedure sets which steps run on their own and which wait for approval, and you can change that at any time.
4. It does the work in your systems
It gets prices, stock and terms from your ERP (in real time, where the ERP's API allows), creates and updates customers, enters quotes and orders and prepares proposals, replies and documents. It also reads attachments: PDFs, images and other documents. When the work happens on a supplier or insurer portal, Mimic Task does that part in the browser.
5. It waits for you where you set it to
Steps you set as automatic run on their own. Those that wait for approval, such as an email or message to a customer, sit in a "Waiting for you" card, showing the step the process is at and the draft ready to go. Approve it, or ask for a change ("give 5% off the item that's out of stock") and Crafteer.ai redrafts it.
6. Everything is logged
Once approved, it goes to the customer and is logged on the account: what was asked, what the AI did and who approved it. In the ERP, where the API allows, each action is recorded under the matching user. The CRM stays up to date as a result of the work done.
What runs on its own and what waits for you
Your company decides, procedure by procedure. An example setup:
| Runs on its own | Waits for your team |
|---|---|
| Reading and sorting emails and messages | Emails and messages to customers |
| Pulling data from requests and attachments | Quotes before they go out |
| Checking prices, stock and lead times in the ERP | Decisions outside the procedure (discounts, exceptions) |
| Recording and updating the CRM | Steps with missing information or an error |

What is Crafteer.ai?
An AI workspace for sales and back-office teams at small and mid-sized companies. It reads what comes in by email and WhatsApp, does the work in your ERP, drafts the replies and leaves your team to approve anything going out to customers.
Is Crafteer.ai a CRM?
It includes accounts, contacts and deals, which stay up to date as the work gets done. The difference is everything else: Crafteer.ai reads the requests, does the work in your systems and drafts the replies.
Do I need to change ERP?
No. Crafteer.ai works on top of the systems you already use, such as PHC, Primavera and Sage, and industry ERPs such as those for insurance brokers. We look at integrating with any other ERP, such as Microsoft Dynamics 365, Odoo, Eticadata or Gestecno, and Salesforce and SAP integrations are on the way.
Does the AI message customers without anyone seeing it?
Only if your company sets it up that way. In each procedure you choose which steps run on their own and which wait for approval. Those that wait sit in a card in the chat, with the draft ready to approve or adjust.
Can I talk to Crafteer.ai instead of typing?
Yes. In the chat you open the microphone and dictate the request or change, for example “tell her we'll deliver on Wednesday morning”. The text appears in the message box and you send it when it's ready.
Do I need WhatsApp Business?
No. Crafteer.ai connects either to the company number or to each salesperson's number, personal or work. You choose one of the two.
Does it read attachments?
Yes. Crafteer.ai extracts information from PDFs, images and other attached documents, as well as from the email or message text.
Where is the data kept?
Data is hosted on AWS in Ireland. AI models (OpenAI and Anthropic) are used through a European gateway wherever possible, and your data is not used to train models.
How long does setup take?
It depends on each company's processes and systems. Our team does the setup and gives you an estimate after reviewing your processes.
How much does it cost?
We don't publish prices. After the demo and the process review, we send a proposal tailored to your company, setup included.
